Reputation / Crisis Management

A basic “what do we do now?” guide for negative attention, inaccurate information, controversial posts, member conduct issues or other public problems.

Prepare Before You Need It

A reputation problem is the worst time to decide who owns the Facebook password, who speaks for the Lodge or whether the Grand Lodge needs to be involved. Create a simple plan in advance.

What Counts as a Crisis?

Not every rude comment is a crisis. A crisis is an issue that may materially affect the Lodge’s reputation, member safety, legal/organizational obligations or ability to operate. Examples can include serious allegations, a safety incident, major misinformation, offensive content published from a Lodge account or an event problem attracting public attention.

The First Five Actions

  1. Stop and document what happened. Take screenshots and save relevant messages before anything disappears.
  2. Notify the Worshipful Master and the appropriate Lodge leadership.
  3. Determine whether Grand Lodge, legal counsel, law enforcement, an insurer or another authority needs to be involved.
  4. Limit public responses to the person authorized to speak for the Lodge.
  5. Correct urgent factual information when necessary, then avoid speculation while facts are still being established.

When to Respond

Good-faith complaintAcknowledge it, move details to a private channel when appropriate, and follow through.
Obvious trolling / baitDo not feed an argument. Apply page rules consistently.
Threat / harassmentDocument, protect members, use platform tools and escalate when necessary.
Serious allegation / active incidentCoordinate with Lodge/Grand Lodge leadership and other appropriate authorities before making broad statements.
Lodge account posted something inappropriatePreserve a record, remove/limit harm when appropriate, secure account access, determine what happened and issue a factual correction/apology if warranted.

Do Not Make It Worse

  • Do not let multiple members issue competing “official” answers.
  • Do not delete criticism simply to make it disappear; distinguish criticism from spam, harassment and rule violations.
  • Do not speculate publicly about people, motives or facts you do not know.
  • Do not argue from a personal account while presenting yourself as speaking for the Lodge.
  • Do not share private member information to “prove” a point.
  • Do not assume screenshots will stay private.

Afterward

  • Document the final facts and decisions.
  • Change passwords/access if account control was part of the problem.
  • Review what created the issue and what can prevent a repeat.
  • Update the crisis contact list and account ownership.
  • If the Lodge made a mistake, make the operational fix as important as the public statement.
KEEP IT SIMPLE
The purpose of a crisis plan is not to create corporate bureaucracy. It is to prevent panic, conflicting statements and unnecessary damage when something goes wrong.
